Role Description:   

As an Executive Search Coordinator, you will work with a Managing Partner on their respective search assignments, as well as a dedicated Principal and Executive Search Consultant on the team. You will support a variety of key activities related to search execution, including candidate research, advertisement planning and posting, interview scheduling and document creation. You will also contribute to new business development and other key initiatives to support the firm’s success. 

Your Responsibilities:  

  • Act as project manager for search assignments and as an informed communicator and key liaison on project progress for team members, client contacts, and candidates, ensuring timely updates throughout the project. 

  • Coordinate meetings and interviews with clients and candidates, as well as meeting logistics and technology requirements.  

  • Create, format, and proof key client and candidate documents, such as proposals, presentations, job ads, Executive Briefs, reference reports, and invoices.  

  • Maintain the accuracy of our database through timely updates and tracking of search and business development information.  

  • Support the planning and posting of approved advertisement programs and expense reconciliation. 

  • Provide candidate research support, leveraging critical and creative thinking to identify prospective candidates through multiple sources. Conduct preliminary outreach and candidate screening as needed. 

  • Assist with the recruitment and selection processes, including collecting applications, screening candidates, and conducting reference checks.    

  • Support inclusive recruitment practices aligned with our commitment to diversity, equity, and inclusion.   

  • Manage the Partner’s schedule and coordinate meetings and travel arrangements. 

  • Participate in delivery of team meetings and team-building activities, contributing to a positive, collaborative, and supportive team environment. 

Who You Are:    

  • Tenacious and persistent in completing complex projects.    

  • Personable and professional, with strong communication skills and the ability to build rapport via phone and email.    

  • Highly organized, with the ability to manage multiple projects simultaneously.    

  • Motivated to produce high-quality work with a strong attention to detail.    

  • Completion of post-secondary education in a relevant field is preferred.   

  • Positive attitude and willingness to contribute to team and office culture.
